IAAPA Expo is next on Nov 16–20, 2026, Orange County Convention Center, Orlando. Education sessions run Nov 16–19; the show floor is open Nov 17–20.

Show services (drayage, electrical, labor) are cheapest at the advance-order deadline, which lands weeks before move-in — check the exhibitor manual for this show's dates.

Dates from the official IAAPA Expo site, checked 2026-10-06. Always confirm move-in times in the exhibitor manual.

Short on time before IAAPA Expo? You still have good options. We hold modular rental systems, SEG lightboxes and LED panels in stock in Las Vegas, so the constraint on a rush booth at Orange County Convention Center is almost never the hardware — it's graphics and the venue's own deadlines.

What a rush booth costs at IAAPA Expo

Rush does not mean a different price list. These are the same rates we quote six months out; what changes is which options are still open.

ItemBuyRent per daySetup & teardown
LED poster (2.3' x 6.5')$3,200 + tax$300 – $400$500 per poster
Tri-fold LED poster$4,200 + tax$400 – $500$600
3-sided LED tower (12' tall)$35,000up to $6,500$1,800

Booth structure itself runs the standard bands — see IAAPA Expo booth rental cost for the full size-by-size breakdown. We do not charge a rush premium on in-stock inventory.

What's still possible, by how long you have

Time to IAAPA ExpoWhat we can still doWhat's closed
4+ weeksEverything — custom modular build, full LED wall, printed graphics, advance-warehouse freight at the lower rate.Nothing.
2–4 weeksModular booth, in-stock LED, SEG lightboxes, new graphics printed and shipped.Advance electrical pricing is usually gone; custom fabrication is tight.
1–2 weeksIn-stock modular kit, LED posters and panels, rush graphics (48-hour print).Custom build, hanging signs needing rigging approval, advance freight rates.
Under 1 weekIn-stock booth and LED delivered direct to showsite, graphics printed in Las Vegas, our crew installs.Anything shipped, anything fabricated, anything hung.

Our stock ships from Las Vegas, so for Orange County Convention Center the under-one-week row depends on the freight lane: in-stock hardware can go out the same day, but allow transit time to Orlando before you count on it. Two weeks or more and every row above is open.

The deadlines that actually bind at Orange County Convention Center

  • Graphics are the real clock — dye-sub fabric prints in 5–7 business days, or 48 hours on a rush. Lock artwork first; everything else can move.
  • Electrical — the advance-order discount (typically 30–50%) is the first thing you lose. If it has passed, order anyway; floor pricing beats no power.
  • Drayage — Material handling at the Orange County Convention Center is billed per pound by the show's official contractor (NADA 2027 publishes $1.28 per lb through Freeman, one rate for warehouse or direct freight), so the same palletise-and-consolidate maths applies as anywhere else.
  • Labor — Labour rules in Orlando are set per show by the official contractor and its exhibitor manual; exhibitor staff are commonly permitted to set up their own booth, but confirm the show's jurisdictions before planning an install.
  • Local advantage — Electrical is ordered from the venue itself, not the general contractor (NADA lists a 120V 5A floor outlet at $173.07), and the West Building's halls are a long walk end to end — stage tools and cases near your hall.

Timing: IAAPA Expo runs each November, and November butts against the holidays — anything shipping late risks a carrier blackout, so treat the graphics deadline as immovable.
