What IAAPA Expo exhibitors actually spend it on

IAAPA Expo is a amusement parks, attractions & entertainment technology show with roughly 1,100+ exhibitors, and that changes where the money goes. Large seamless LED video walls (20x10 and up) running show-ready content, immersive backlit SEG environments, and island booths with clear sightlines across a very large West Building floor.

Timing: IAAPA Expo runs each November, and November butts against the holidays — anything shipping late risks a carrier blackout, so treat the graphics deadline as immovable.

  • Custom vs. modular — a rental modular system costs far less than a fully custom build.
  • LED video wall — fine-pitch LED is the biggest single upgrade (and the biggest traffic driver).

The Orange County Convention Center line items exhibitors miss

These land on the official contractor's invoice rather than your booth vendor's, and they are where IAAPA Expo budgets break.

  • Drayage is billed by weight, round trip — per hundredweight, with a minimum per shipment that is usually 200 lbs. Three 150 lb boxes bill as 600 lbs, not 450.   • Electrical is priced by your deadline — advance ordering typically runs 30–50% under floor pricing for the identical drop. Get your LED power draw in writing and order early.
  • Docks and routing at Orange County Convention Center — Two separate buildings on either side of International Drive — the West Building (over a million sq ft of halls in one run about 2,500 ft long) and the North/South Building — each with its own docks, so confirm which building your hall is in before routing freight.
  • Plan ahead — Electrical is ordered from the venue itself, not the general contractor (NADA lists a 120V 5A floor outlet at $173.07), and the West Building's halls are a long walk end to end — stage tools and cases near your hall.

Ways to cut your IAAPA Expo bill

  • Consolidate freight into one shipment. Minimums are charged per shipment, so this costs nothing and is decided before anything leaves your building.
  • Check your exhibitor rights in the manual. Shows in Orlando commonly let exhibitor staff set up their own booth, but the official contractor’s labor-jurisdiction sheet is what says exactly which tasks your own people may do — read it before you design, and build for that answer.

  • Electrical (venue price list): OCCC Exhibitor Services Price List effective October 1, 2025: 120V 5A single outlet, floor, $168.86 incentive rate, $271.69 base, $387.22 on-site; the outlet price includes initial labour, placement and 24-hour power; 10A $202.62 and 20A $254.63 at the incentive rate. The OCCC itself is the exclusive provider of electricity, so this is a venue rate that applies to every show there

Assumptions are ours, not the show’s: Freight weight is the crated weight of a rental modular SEG or LED kit of that size, including counters and cases; your crate manifest governs and the drayage minimum applies per shipment. Labour hours are total install plus dismantle at straight time for a vendor-installed booth of that size; overtime and double-time premiums apply outside the contractor's straight-time window. Electrical is one 5-amp/120-volt outlet per lit element at the advance-order rate; an LED wall or tower needs its own circuit, which the kit prices separately.
