PPAI Expo is a promotional products show with roughly 1000 exhibitors, and that changes where the money goes. Branded inline and island booths with product walls and lightboxes to showcase swag.

Show the swag in volume — product walls, lit shelving, and an inline that turns samples into a branded experience.

Timing: PPAI Expo runs each January, and a January show means your graphics and freight deadlines land in the middle of the holidays — print shops and carriers both run short weeks, so lock artwork in November.

• Docks and routing at Mandalay Bay Convention Center — Ground-level docks feed the convention center directly, making move-in efficient for mid-size islands.
• Plan ahead — It's a long walk from some halls to the docks — stage your crates and tools to avoid mid-show runs.

Ways to cut your PPAI Expo bill

• Consolidate freight into one shipment. Minimums are charged per shipment, so this costs nothing and is decided before anything leaves your building.
• Design for hand assembly. If your own staff is setting up, the working limit is no power tools and no ladders — a booth built to that rule is one you can install yourself. • Floor space: Priced per 10x10 linear booth, not per sq ft: member full payment $3,545 through October 31, 2026 ($3,845 after), qualified non-member $4,545 ($4,845 after); the per-sq-ft figure is that member booth fee divided by 100 sq ft. Premiums are a percentage of the booth fee: corner, peninsula, hanging sign or extended height 12%, island 15% (400 sq ft minimum), partial corner 6%; 2.75% surcharge on card payments.

Assumptions are ours, not the show’s: Freight weight is the crated weight of a rental modular SEG or LED kit of that size, including counters and cases; your crate manifest governs and the drayage minimum applies per shipment. Labour hours are total install plus dismantle at straight time for a vendor-installed booth of that size; overtime and double-time premiums apply outside the contractor's straight-time window. Electrical is one 5-amp/120-volt outlet per lit element at the advance-order rate; an LED wall or tower needs its own circuit, which the kit prices separately.
